Michelle Mitchell mentioned that they also expanded the Notice of Meetings language. It now clarifies that regular meetings are held on the second Wednesday of each month. It includes language addressing cancellation procedures, ensuring advance notice is provided to members if a meeting must be canceled. Minor wording adjustments were made in the voting section for clarity. They added clarification regarding voting representation. The SILO (Senior Instructional Leadership Officer), when present, serves as the official voting member for their college. If the SILO is unable to attend a meeting, they must designate a representative. That designated representative must clearly identify themselves during roll call as the voting member in the SILO’s absence. The policy continues to state that no college may vote by absentee ballot. She stated that Dr. LeBrun raised a question about whether to retain the listed topics under each committee. After the discussion, they decided to keep the committee topic lists. These serve as a helpful reference to clarify which committee is responsible for specific areas. They believe the topics are written broadly enough to cover current and future state or federal regulations. She mentioned that if needed, we can expand within those areas in the future. For now, we feel it is important to retain this structure for clarity and accountability. Finally, they removed the reference to a secretary position within the committee structure. There has not been a formal Secretary role in place, so the language was outdated and has been removed. Based on our discussion at the April meeting, they added language to the May meeting agenda allowing committees to submit reports, minutes, and supporting documents. This will help keep the association informed about committee activities and ongoing work. A question was raised about multiple versions of the MSVCC Grade Change Form. While formatting may vary between colleges, the needed to ensure that the official Grade Change Form is being used for shared courses and students. Michelle Mitchell clarified that when she receives a grade change form to process in ET (which is a manual process), she verified that all required information is included before submitting it.
