New Business

a. Strategic Planning Kick-Off i. Keri discussed closing the loop. Keri discussed the sub-committees to work on the Status and Footnote columns. These will be on going tasks but for the purpose of closing out we need to put a status of complete and when it was done. In the past four years, have you done this? If you have, mark it as complete. And if completed, note when it was completed. If not, mark incomplete. Need to get this completed in the next week or two so we can have an accurate reflection of what we have done in the last four years. We will begin new goals at Boot camp. b. RFP Student and Faculty testing (due, Friday, August 31) i. September 12, 2012 each college will need to submit to Christian the list of names including email address of each individual who will participate in sandbox testing for the RFP. The individuals who participate will need to sign an NDA. Would like to have student testing but may cause complications in keeping confidentiality. We will need to identify a group of students who understand the complexity and seriousness of the RFP and NDA process. We need to try and select faculty who are as unbiased as possible. Christian recommended we select instructors who are open to thoroughly evaluating each of the selected platforms and there will be an evaluation matrix for them to complete. To get a broader perspective, each college may want to select experienced users and new users. Christian noted there is not a current way to keep the platform anonymous from the users. Testing window is October 15, 2012 to November 9, 2012. Faculty need to understand the significant time constraint that will be placed on those that participate in testing. Selected instructors will need to be willing to spend hours playing in the sandbox courses to test out each platform. The matrix will define a clear list of things to evaluation, tasks to complete, and items to keep into consideration. Christian hopes to be able to pull an actual course that the instructor currently teaches into the sandbox testing area. He is not sure if that is currently possible. On the 19 th of September Christian will send an email to the selected instructors with instructions and the NDA forms. Holly asked for a copy of the email that Christian is going to send to faculty in order for us to discuss what we are asking of our faculty prior to Christian sending the email so that faculty fully understand our expectations. i. There are issues with an overabundance of users remaining in old courses. Specifically one user tied to all courses each semester. Dave has asked if we can limit the availability to the past and current term to assist with upgrades and performance patches. Christian will send a list of user names with courses and which courses they are attached to so that we can determine if we can clean up the extensive list to help with performance on the system.
