MELA Meeting Minutes 2003 - 2017
that each college SIS does this same thing, and that is the only way to coordinate dates. 4. Ive mentioned that all colleges need to be the same in order to build a new ET system – especially when we start discussing add/drop dates, mini terms, etc. Because there are so many moving parts in the ET, there needs to be an established set of rules in using the system. 5. David Case mentioned that he has heard of some schools going to no ‘add/drop’ period. Tish mentioned that each office needs some cleanup time. Keri suggested that a role be created in the ET, which would allow college eLearning offices the ability to add/drop for cleanup purposes. i. The Assessment Report was not figuring in second short-term enrollment numbers. Errors occurred, but Ive has corrected the errors. Schools should check the numbers to make sure they are correct. The new Assessment Report will run twice each term. There will be a run at the beginning of the semester with preliminary numbers, and then it will run again after second-short term. ii. Audra has received approval for the $15 assessment charge to come from audited numbers, and not from the Assessment Report numbers. Cash flow has allowed for this change. Audits will never take place during the semester, but will happen immediately after the semester is over. Colleges should let Business Offices know that they should look for assessment charges sometime in February or March. This change in billing will take place this term. i. In the past, the retention number has not been accurate because it included No Show students. There are two reports in the ET where this calculation can be found: Instructor Grade Report and Overall Success Rate Summary . The retention rate is now calculated by number of completers divided by net enrollment. Ive stated that it is a possibility for him to create a selection area in the ET that would allow colleges to sort by full-term and short-term courses to compare retention rates. e. Spring Term – Audra Kimble i. Enrollment Files will be sent to Canvas as late as possible to eliminate as many problems as possible. So, ET files for the upcoming Spring term will be sent before class starts on Monday, on Friday afternoon at 1 p.m. ii. Jennifer Leimer stated that ELCs need to know exactly how to process students in the ET after files are sent. d. Retention Calculation – Audra Kimble c. Assessment Report – Audra Kimble
