MELA Meeting Minutes 2003 - 2017

v. There was much discussion about a new field needing to be added to the Enrollment Tool for designating the specific term. It must be viewable from the Master Course Listing area to pull in courses. vi. Textbooks: It is recommended that colleges use eBooks for 4-week courses, because it can be an issue obtaining a book in a timely manner. vii. Proctoring: 1. Audra stated that Proctor U may be an alternative for proctoring; also Respondus is coming out with a new product called Respondus Monitor that may be an alternative. a. Buffy stated that the Support Committee has already looked into both products. Respondus Monitor only records the session and does not have a live proctor, and the instructor has to watch the recording. Proctor U will notice the student’s activity, will ask the student to pan the room with the camera, and notify the instructor of suspicious activity. b. Meridian Community College already uses Proctor U, and they enjoy the product. The only confusion is if a test password changes, and the student is taking the exam at a late hour. 2. Request for statewide scheduling software: Audra asked which colleges were using scheduling software. Many in the room stated they are using home- grown scheduling software. Keri stated it would make us more efficient with proctoring if we had statewide scheduling software. Keri recommended that we draft something up that we want and present it to our IT people to see if they could do it for extra income. a. Tish also stated that it needs to be usable for the proctor, but also should pull data from the ET. b. A task force was formed to discuss what the statewide scheduling software should look like. Elizabeth Spooner, Jennifer James, Vanessa Alexander and Christa Wilhite volunteered to be on the committee. The chair will be Jennifer James and she will e-mail the group with a meeting date/time. viii. Accreditation Issues: Audra stated that schools should evaluate their instructor teaching load policy. The verbiage might have to be changed to now accommodate for mini-terms. ix. Enrollment Tool: 1. Current and Potential Course Offerings will be viewable for students. The list of potential offerings will only list courses that the college wants from particular terms. 2. Self-registration – 3 colleges still use it, so Audra will tell Ive that it will still need to be an option. 3. Student Profile:

a. Buffy stated that the Student Profile should list terms/dates, so that students are aware of when the classes start. With so many terms, students are easily confused on when classes start/end. All were in agreement. Audra stated that this could be auto-populated where it would automatically print the start and end dates for a term on the Student Profile.
