status was set as ‘Deleted’. Keri asked what should be done to fix this issue. Kevin stated that it isn’t something that Canvas can fix. Keri suggested that we be able to send only one recent enrollment like the local SIS does. Audra stated that there needs to be a conversation between Kevin, Ive, and herself about rewriting the files to make them load like a local SIS. Kevin asked Audra to send in dates and times that she and Ive are available. v. Jenny Jones asked Kevin if there was a way to see on the backend of Canvas the exact date and time a student was enrolled in a course. Kevin stated he knew that the data was accessible, but was not sure if Canvas Administrators could view this feature. Kevin will get back with Jenny about this issue. vi. Phyllis asked Kevin if we do a batch upload into the ET, will it take the current students out of Canvas until the next upload. Kevin stated that it will remove them from a course, but the user will still have an account in Canvas. vii. Amy sent out a link to InstructureCon 2014 with registration information, pre- conference workshops, hotels, etc. 1. State Board will pay the registration fee for one person per college to attend InstructureCon, which will take place on June 17-19. March 31 is early-bird registration. All schools will need to send Audra names by February 7. viii. Reconciling course rosters after the add/drop period. Kevin asked if rosters were correct. ELCs answered ‘no’, they were not correct just yet – we have No Shows, Withdrawals, and short-term courses which will change rosters in Canvas. a. Course Conclude in Canvas i. There was much discussion about how students are able to see previous courses in which they were enrolled. Tish wanted to know how many delete the users and put them back in. The ELCs stated that it wasn’t a real problem. Keri stated that Canvas needs a fourth status that would not allow students to see previous coursework. Audra stated that Amy from Instructure stated that they are looking into adding this fourth status, and other enrollment options. Keri will create a feature request and will send it out to the group. i. Teachers are trying to enter Spring final exam passwords and the old Fall data is in the ET. It is giving an error message saying this ‘already exists’ in the system. Keri asked if the Fall data could be removed. Audra stated that if you remove one thing on the back end in the ET, it will remove it all. As a fix, instructors can change the name of their exam – or modify the exam information. ii. Jennifer James – In the past she requested that Ive remove faculty rights for instructors to be able to view the proctor exam information. She made Ive aware of an issue in which instructors can still view this information -- if an instructor is teaching/taking a class they can enter a password in the ET and delete it, it will redirect them into the password database which they do not need access to. This ‘redirect’ needs to be removed. Ive stated that he would fix this issue. iii. Keri asked if there was any way to get one, most recent file sent to Canvas so that we do not have the ‘Deleted’ issues. Ive stated there is a way to do this; however, it was turned down because of a money issue ($20k). We would have to pay Canvas extra for
