New Business MCCB Items - Krista LeBrun:

a) Travel/ELC Meetings i. Krista stated that at the last Presidents’ Meeting there was discussion about budget cuts, and what we can do proactively to ease the burden of budget cuts. Presidents have cancelled their annual 4-day meeting, and will only have a 1-day meeting in Jackson this summer. ii. Our MELA group is one of the few groups that meets monthly. A suggestion was made for us to meet virtually each month, to save money for colleges. Then meet once per semester (Fall and Spring). 1. VOTE: Admin Committee made a motion that we meet twice a year, face-to-face, (and incorporate that meeting into our yearly ET Requests/Strategic Planning meetings) to save money. Christa Wilhite seconded. All in favor; none opposed. 2. Further Discussion: a. Next Spring 2018, we will look at this again, since our MELA group is far more productive when we meet face-to-face. b. ELCs will need dedicated time and space during the monthly virtual meetings. We should be in a place with no interruptions, since voting and other business will occur. c. It is recommended that Colleges that are close together, meet The RFP will be public and published on April 18. A vendor telephone conference will be hosted by ITS on May 4 to answer vendor’s questions. A vendor will be selected at the beginning of July. The vendor will have the Fall semester to have ‘proof of concept’. If the product does not work, then we will go to the next vendor. 70% of the vendor rubric will be based on functionality; 30% will be cost. ii. 9 members are serving on the selection committee – from MCCB, IT, eLearning, etc. All have signed confidentiality forms. If any vendors try to make personal connections, have them reach out to Michele Smith, from ITS, and give them the publication date of April 18. Contract ends in June 2016. They did not increase our price. We are billed $3.50 per student (not per course). $173,000 annually. ii. Several schools are interested in utilizing AspireEDU in traditional courses. Think about how we want to use it for traditional courses, so we can potentially go back and talk with the Munzos about how we would be billed and amend the contract (this takes 6-8 weeks). iii. Speak with your colleges, and at May’s meeting we will discuss this further. Keep in mind that in order for this to work for traditional courses, every course assignment would have to be submitted through Canvas. together for the monthly virtual meeting to maintain the group setting, and be able to network and bounce ideas off of each other. b) RFP Update for Web Conferencing/IM Service i. c) AspirEDU Update i.
