MELA Meeting Minutes 2003 - 2017
c. BBIM will be available July 22. Keri mentioned that we still don't know which format we will need to send the files to BB. We sent sample files but have not heard back. At this time they can not pull this data from Canvas. These files will need to be sent to an FTP server: courses, enrollments, and users. Keri asked when we will receive the FTP information to share with our IT departments. Currently we will lose access to all BB content on June 30. Based on the time line we will be without access to BBIM on June 30 until we get the process in place for the new environment. This means a change in the location of the FTP and the files that we send. Keri asked if we could use the FTP we already have in place and just send the new files. Michelle asked if we could use the one admin account with BB that we extended for a year. Keri stated didn't think it was possible since we were freezing the data to retain for audit/documentation purposes. Michelle asked for manager access for each schools environment to old Bb content. Keri asked for a date on when we will receive our administrator rights to the archived environment. Akiah said she would check on it. Akiah felt the login would be generic but with all access. Keri was concerned since our contract ends on the 30th. d. ET enrollments-Ive will make the change so that status will change like we used to do in BB. Akiah believed the changes will be made by July. This will correct the issues we had at the beginning of the term with us having to manually remove students from courses. Ive will clean up all data from registrations. drops, deletes, and add that have taken place since April 2, 2013. e. TEO will start on July 15 and registration will open in the next couple of weeks. Akiah will let us know when the registration for the workshop opens. Jennifer Leimer created and will facilitate the course. The group asked to be able to preview the course before it goes live. Akiah will open it up for us to review. f. Textbook link is on the Squarespace and on the student profile. Keri asked for it to be on the main page. Akiah said she posted all the ones that were submitted. Anyone who has not sent Akiah a link to their textbook URL to please send it to Akiah. Open Forum a. Chris Jenkins asked about a policy regarding student disputes for classes over a year or so. Keri stated that Hinds does not allow grade disputes past one semester however they still check by reactivating the student and look at their data. Chris stated that they look at the paper documents. Kimberley Ellis stated that the Business Office states that once the dispute goes to collections they can't make any changes and therefore cannot be disputed. With much of our content going digital, it is hard to rely on paper copies. Most of the colleges only keep data for 3-5 years and do not look at data past that date. b. Chris Jenkins asked if enrollment was down for the summer. Everyone agreed but numbers are looking up but most of us believe this is an issue with Pell Grant no longer being available in the summer therefore students are waiting longer to register for the Fall.
